How to automatically update a specific Asana task when a Calendly event is cancelled
Create your playbook and set the Calendly trigger as "Event cancelled"
Every playbook starts with a trigger. The trigger detects changes in your connected apps and runs your playbook in response.
To setup this playbook, click "Add trigger" and then select "Event cancelled" under Calendly. Then, select details like event type and also trigger for events scheduled in other people's calendars. If this is your first time using a Calendly integration in Relay.app, you'll be prompted to connect your Calendly account.
Now, every time an event is cancelled in Calendly, your playbook will run automatically.
Add the "Find task(s)" & "Update task" in Asana automation
Integrate the Asana automation into your playbook to ensure the prompt update of the specific task whenever an event is cancelled in Calendly.
Click the "Add step" button, then locate the "Find task(s)" to identify which task will be updated. Then, select "Update task" automation for Asana and input the mandatory and relevant details to ensure the prompt update of the specified task.
If your Asana account isn't already connected to Relay.app, you will be prompted to complete that connection. Make sure to allow the necessary permissions for Relay.app to sync with your Asana account.
Activate your Relay.app playbook
Activating your playbook is the final step to automate updating the specified task in Asana. Once turned on, it will respond when an event is cancelled in Calendly by updating the specific task in Asana without manual intervention.
To enable your playbook, click the toggle button located in the header. It is advisable to perform a test run of your playbook beforehand to ensure all steps work seamlessly together and reminders are being sent correctly.
