Every time someone signs up for a user study via our Calendly link, this workflow kicks in to set up a notes document based on a template and prepares the interviewer for the interview.

Once the meeting has ended, notes are shared with the team and a thank you message is sent to the participant.

Whenever we launch a major new feature, we send an automated email to new users asking them if they're interested in participating in a user study. The email contains a Calendly link so they can sign up directly.

To help us put the user study process "on rails", we created this workflow. It helps take away almost all of the mundane preparation work for a usabily interview like preparing a notes document and sharing notes with the team afterwards, so that the interviewers can focus on the aspects of the preparation that require their unique skills.
