How to automatically update the contact information on HubSpot whenever you receive a response in Google Forms
Set the Google Forms trigger as “Form response submitted”
Add the Google Forms trigger to initiate your playbook's actions before submitting a form.
To do this, click "Add trigger" in your playbook. Choose the "Form response submitted" trigger from the Google Forms options, then choose a form with which you want to work (e.g., "Contact Information"). It will enable your playbook to automatically identify newly submitted forms and trigger necessary actions.
If you have yet to connect your Google Forms account to Relay, a prompt will guide you through the connection process.
Add the “Update contact” in HubSpot step
Integrate the HubSpot automation into your playbook to ensure prompt contact updates.
To add a step to your playbook, select "Add Step" and search for the "Get contact" automation. Then, choose an identifier from your HubSpot data in the "Add filter" that matches the Google Forms data. In this example, the identifier is "Phone number".
Next, add another step to your playbook by selecting "Update contact" and choosing a file from your HubSpot that you want to work with, such as "Contact." Then, click on the relevant fields you want to update and fill in the required details, such as email, job title, and company name.
If you still need to connect your HubSpot account to Relay, you will be prompted to complete that connection. Make sure to allow the necessary permissions for Relay to update contact details through your HubSpot account.
Activate your playbook
Activating your playbook is the final step. Once turned on, it will respond to update HubSpot contacts with new Google Forms submissions without manual intervention.
To enable your playbook, click the toggle button located in the header. It is advisable to perform a test run of your playbook beforehand to ensure all steps work seamlessly together.
